How I stopped losing ideas and finally built a system that keeps everything in one place.
I spent years trying to find a tool that could hold everything together. Content creation apps, spreadsheets, Word docs. I kept switching, thinking the next one would fix it.
The problem wasn’t the tools. Nothing was cohesive enough. None of it talked to each other, and I was constantly chasing ideas instead of executing on them.
The Tools Weren't the Problem
What I actually needed was one system. One place to capture ideas, plan content, manage projects, and get things done without losing my mind in the process.
That’s when I went all-in on Notion and built what I now call my LifeHQ. It’s my operating system for my business, content creation, planning and more and it’s built around the Second Brain system from Tiago Forte.
Your Brain Was Never Meant to Store Everything
Think of your brain like a hard drive. Once it hits capacity, new information doesn’t stick. Ideas get lost. Tasks get forgotten. You end up spending energy trying to remember things instead of doing them.
A Second Brain fixes this by giving every idea a place to land the moment it shows up. Inside my LifeHQ system, I use a Quick Capture widget on my phone’s home screen. When an idea hits, I tap it, jot it down in seconds, and keep moving. When I get back to my desk, it’s already sitting in my inbox waiting for me.
Every Idea Has a Home
From the inbox, I sort everything using the PARA method. Projects are things I’m actively working on with a deadline. Areas are ongoing responsibilities. Resources are reference material I want easy access to. Archive is everything else worth keeping but not actively needed.
Nothing floats around in limbo. Every piece of information gets placed somewhere intentional, and the mental clutter disappears.
From Idea to Published Content
Here’s where it gets practical. Inside LifeHQ, I have a Content Planning Hub built right in. When an idea comes in from Quick Capture, I move it into the hub using a relation (A way to sync information between databases), do my research, and decide what format it becomes. A carousel, a Reel, a YouTube video, a newsletter. Once it’s published, I archive the idea and move on.
No hunting through scattered notes. No friction in the workflow. The whole pipeline lives in one place.
